Inviting team members
Inviting team members
Looking to invite someone, add a team member, add a new user, or onboard a teammate? Start here. This is the main guide for inviting people into MonsterOps.
The short answer: invite people from the Organization level whenever possible. An Organization-level invite lets you choose which teams the new member joins, while a team-level invite only ever adds them to a single team. Both are covered below.
There are two ways to invite a new member:
- Organization-level invite (preferred) — brings someone into the Organization and lets you choose which teams they're added to.
- Team-level invite — brings someone onto one specific team only.
If you're deciding between them, the Organization-level invite is usually the better choice because it gives you control over team placement up front. A team-level invite only ever adds the person to the single team you invited them from.
Inviting from the Organization level (preferred)
Organization-level invites are sent from the Organization Team Members section.
- Open your Organization's Team Members section (the three-dot menu on the Organization in the left-side navigation, then Team Members).
- Click Invite Team Member in the top right.
- Enter the new member's email address.
- Select which teams the new member should be added to.
- Send the invite.
Because this method lets you pick the teams during the invite, it's the cleaner way to onboard someone who'll be working across more than one team — or whose team placement you already know. Pending invites appear in their own list below the member list, so you can track who's been invited but hasn't yet joined.
Inviting from the team level
Team-level invites are sent from a specific team's own Team Members section.
- Locate the team in the left-side navigation.
- Click the three dots on the right side of the team, then select Team Members.
- Enter the new member's email address to invite them.
This adds the person to that team only. If they later need to be on other teams as well, you'd need to add them separately — which is why the Organization-level invite is generally preferred when you already know someone will span multiple teams.
Who can invite
Inviting new members by email is open to Owners, Admins, and Members — every permission level can send an email invite, at both the Organization and team level.
Two related actions are more restricted, however:
- Approving email domains (auto-join by domain) is limited to Owners and Admins.
- Removing existing members is limited to Owners and Admins.
Members attempting either of those will see a red "Only organization owners or admins can perform this action" popup.
Inviting by approved email domain
As an alternative to inviting people one at a time, Owners and Admins can approve specific email domains so that anyone with a matching email address can join a team automatically. This is set up in a team's Team Members section and is useful when onboarding a whole company or department at once.
Best practices
- Default to Organization-level invites when you know which teams someone belongs on — it saves you from adding them to each team separately later.
- Use team-level invites for one-off additions where the person only needs access to a single team.
- Use approved email domains (Owners/Admins only) when you expect a recurring flow of people from the same email domain.
- Check the pending invites list after sending, so you can follow up with anyone who hasn't accepted.
Things to keep in mind
- Owners, Admins, and Members can all send email invites at both the Organization and team level.
- Organization-level invites let you choose the new member's teams; team-level invites only add them to the team you invited from.
- Approving email domains and removing members are restricted to Owners and Admins.
- A person can belong to multiple teams and multiple Organizations, so inviting them somewhere new doesn't remove them from anywhere they already are.
Common questions
- How do I invite a team member? Use an Organization-level invite (preferred) so you can choose their teams, or a team-level invite to add them to one team. See the steps above.
- How do I add a new user / new member? Same as inviting — start with the Organization-level invite.
- How do I onboard a new teammate? Invite them at the Organization level, then optionally walk them through the Get Started flow.
- How do I add someone to multiple teams at once? Use the Organization-level invite, which lets you select multiple teams during the invite. A team-level invite only adds them to one team.
- Can a regular Member invite people? Yes — Owners, Admins, and Members can all send email invites. Only domain approval and member removal are restricted to Owners and Admins.
